Microsoft 365 Migration for a Northampton Architecture Practice

A Northampton architecture practice was losing time to unreliable email and disconnected document sharing. Here is how a Microsoft 365 migration, company wide OneDrive and Microsoft Teams changed how the whole practice works.

Client details have been anonymised to protect confidentiality.

The business

An architecture practice based in Northampton, with staff regularly needing to work on shared drawings and documents both in the office and from home, and to run client meetings outside the practice as a routine part of the work.

Before Evoogic

  • Email reliability had become a genuine problem, with messages occasionally delayed or missing, which is a serious risk in a business where a client sign off or a supplier query can sit on a tight deadline
  • Documents and drawings largely lived on individual machines or an ageing local server, which made working from home difficult and slowed down any project that needed more than one person editing at once
  • There was no consistent platform for internal team communication, with conversations spread across email threads, phone calls and whatever tool happened to be convenient at the time
  • Client meetings held outside the practice were arranged in an ad hoc way, without a shared, reliable video and calling platform behind them

What we did

  • Carried out a full Cloud Migration onto Microsoft Office 365, moving email onto a properly hosted, reliable platform rather than the ageing setup it replaced
  • Rolled out a company wide OneDrive structure, so staff could securely access, share and edit documents and drawings together, whether working from the office or from home
  • Set up Microsoft Teams across the whole practice, giving the team one consistent platform for internal communication in place of scattered emails and calls
  • Configured Teams for external use as well, so client meetings outside the practice could be arranged and run through the same reliable platform rather than an inconsistent mix of tools

After Evoogic

  • Email reliability improved immediately, removing a recurring source of risk around missed client and supplier communication
  • Staff can now work securely from home with full access to shared documents, and genuinely edit drawings and files together rather than passing versions back and forth
  • Internal communication is faster and more consistent, with Microsoft Teams now the practice's single platform for day to day conversation
  • Client meetings held outside the practice are now arranged and run through Teams as standard, giving the practice a more professional and consistent way to meet with clients wherever they are

In their own words

Our migration to Microsoft 365 has completely transformed the way our architectural practice operates. Email reliability has improved, OneDrive has enabled secure remote working and seamless document collaboration, and Microsoft Teams has strengthened both internal communication and client meetings. The transition was smooth, professionally managed, and has delivered lasting benefits across the business.

The takeaway

For a practice like this one, the real cost of an unreliable email system or a disconnected way of sharing documents is not always obvious day to day. It shows up as a missed message, a slower project, or a client meeting that feels less professional than it should. Moving onto a properly configured Microsoft 365 environment, with OneDrive and Teams set up around how the practice actually works, fixed all three at once rather than treating them as separate problems.
